Job Category Foreign, Commonwealth and Development Office (Operations and Corporate Services) Job Subcategory Estates Job Description (Roles and Responsibilities) The British High Commission in Nicosia is part of a world-wide network representing British political, economic and consular interests overseas and is now looking to recruit HR and Procurement Officer. Corporate Services (CS) is one of the core departments of the British High Commission in Nicosia. We require a full-time officer to undertake HR, Procurement and compliance administrative duties. This role will offer the successful candidate an opportunity to learn a wide range of functions in compliance with Foreign, Commonwealth and Development (FCDO) policies. The jobholder will be an integral part of the team. The responsibilities of the position will be spread across a broad range of corporate services functions including Administration, HR and Procurement. Roles and Responsibilities Operational Human Resource Management Provide support to senior management on HR policy, operations, employment terms and conditions, working closely with HR Hub. Ensure local staff terms and conditions of service are compliant with local employment law. Ensure global local staff policy is followed (including global minimum standards). Own the local staff handbook in conjunction with local staff associations. Contribute to local recruitment processes working closely with the HR Hub and Hiring Managers. Working with the Corporate Service Manager (CSM), review and update on-boarding and exit processes and documents, ensuring they are up to date and relevant. Signpost guidance and support to staff and line managers where required. Pay and Benefits Under direction of the CSM, manage local pension and insurance schemes. Provide data and support for local pay processes. Make recommendations to the CSM on pay and exceptions. Procurement Ensure estates procurement is effectively managed and compliant with global policy, working with the Procurement Hub and CSM. Build and maintain strong relationships with vendors and suppliers. Become confident in the full corporate services purchase to pay processes (P2P). Seek opportunities to reduce costs and improve efficiency. Maintain accurate records of contracts and suppliers. Evaluate and improve procurement processes and systems. Compliance Lead coordinator of the posts Management Action plan, ensuring records / evidence are held and this is reviewed throughout the year. Assist the CS team on record keeping. Team Support Support other members of the corporate services team as required. Participate in post crisis activity. Line Management of one member of staff (Cleaner). Essential qualifications, skills and experience Fluency in oral and written English and Greek (minimum of C1 level for CEFR framework). Proven administrative experience of at least three years (e.g. public service / government office management, general office management, administrative role). Experience working within Procurement functions. Experience in stakeholder management and customer engagement. Strong communications and interpersonal skills. Ability to communicate to all levels in a clear and concise manner. Excellent self-management, attention to detail and organizational skills. Ability to think critically and creatively, work under pressure and prioritize effectively in the midst of conflicting priorities and competing demands. Confident using Microsoft Office tools such as Outlook, Word, Excel. Positive outlook with a can do attitude. Valid and clean driving licence and willingness to drive as part of job duties. The confirmation of appointment is subject to professional background checks and security clearance procedures, as well as the successful completion of a 6 months probation period. The successful candidate must be free of any convictions and undergo a UK security clearance process.
