Job Description
This is an excellent time to join RSPB as a part-time Administrator in Edinburgh. Administrator Reference: OCT (Apply online only) Location: Office Based, Edinburgh Park Contract: Permanent Hours: Part-Time, 20 hours per week Salary: £24,571.00 - £26,231.00 Per Annum, Pro Rata Benefits: Pension Scheme, Life Assurance Scheme, 26 days' Annual Leave (pro rata) This role combines providing administrative support to the Fundraising & Communications Team as well as some admin support duties relating to our Edinburgh Scottish HQ office, which has recently relocated to a new, bright and lively office within Edinburgh Park. Based in the office you will work with the admin team to support the Directorate and tasks relating to the office to help make it an efficient, effective and safe place to work. The hours can be flexible from Monday to Thursday but attendance for whole/part of Fridays is required and your preferred working hours can be discussed at interview stage. Responsibilities include: * Providing administrative support including the processing of invoices, arranging travel and accommodation, events administration, organising and maintaining materials and equipment, diary bookings and fleet car administration so that staff and volunteers operate efficiently. * Administration around recruitment and interviews for new staff in the Fundraising & Communications dept. * Assisting with administration of dept meetings and team events. * Responding to telephone and face to face enquiries from staff, volunteers, visitors and the public to the Edinburgh office to maintain our excellent reputation. * Working with the Office Manager on administrative tasks relating to running the office including organising meetings in the office, inducting staff to the office environment and overall helping the office to run smoothly. * Given the wide range of staff, volunteers and visitors in the office it is essential to build and maintain positive working relationships, both internally and externally, using diplomacy and tact, ensuring that confidential and sensitive matters are handled appropriately, so that all contact is professional and RSPB is represented in a positive manner. Essential skills, knowledge and experience: * At least 5 GCSE's or National 5s or equivalent including Maths and English. * Full driving licence valid for use in the UK and confidence in driving in Edinburgh to occasionally drop off/pick up our fleet vehicles from a local garage. * Knowledge of Microsoft Office applications (especially Outlook, Word, Excel, PowerPoint and Teams) and SharePoint, plus the ability to impart this knowledge on to others. * Able to communicate effectively with a wide range of audiences whether by phone, email or in person, to organise meetings and events and coordinate all aspects of the meeting or event logistics. Customer orientated outlook. * Able to make the best use of time particularly when under pressure from competing priorities, prioritising and delegating tasks effectively, during periods of both low and high demand. Ability to be positive and responsive to requests that provides a positive working environment. * Able to deal with confidential and sensitive information appropriately. * Experience of office admin maintaining a safe and efficient working environment. Desirable skills, knowledge and experience: * Interest in and knowledge of conservation and the natural world. * Experience of working with and managing office volunteers. * Experience of financial processing of invoices.
