HOLMES PRODUCTION STUDIO MANAGER - PARIS We’re looking for an experienced Studio / Office Manager to join our team in Paris 11eme. Ideally, you’ll have experience in multi-tasking in a production environment similar to ours and be used to working at pace in a wide-ranging office management role. ABOUT US Holmes Production is a uniquely personal, full-service production facility. Founded in 2010 by producer Laura Holmes, we are an independent company dedicated to creativity, artistry and the power of the image. We work in motion, stills and events from art buying and concept development through to execution and completion. Our clients include fashion and luxury brands, creative and advertising agencies, artists, filmmakers and photographers. Our approach is creative, our attention to detail assured and we consistently work to the highest aesthetic standards. We are determined, imaginative and meticulous. We are perfectionists. KEY DUTIES 1. Studio / Office Management - The general running and maintenance of the studio day to day, from opening the office in the mornings and preparing it for staff arrival to overseeing any necessary maintenance; ensuring a clean, tidy and welcoming environment at all times. - Answering the phone and the door / gate and being a first point of call for all enquiries and the first face for all visitors – the voice of the company. - Checking fridge, pantry, cleaning and stationary stock and replenishing in a timely fashion. - Liaising with IT, communications and utility suppliers to manage accounts efficiently and resolve any issues promptly; ensuring staff action required IT updates and are aware of any possible disruptions to their work. - Managing cleaning and handiwork services, making sure the kitchen and office is presentable for client or visitor meetings. - Ensuring all production staff are up to date with first aid courses and fire safety equipment and electrical appliances are frequently serviced. - Opening, distributing and responding to mail as required. - Arranging and booking team dinners / outings on occasion. - Handling intern enquiries and managing the internship rota, including training and overseeing the workload of the current intern. - Managing holiday requests and allowance and reporting in to the external HR consultant accordingly. - Managing staff records for time off / illness etc - Keeping an eye on sustainability and social policy, ensuring we are doing things in the best and most efficient way possible and researching and implementing new energy and resource saving methods. - Laundering office towels and cleaning cloths or overseeing the cleaner doing this. - Keeping plants alive with frequent watering and TLC. - Managing the on site staff accommodation, ensuring that bookings are clear to all team (London & Paris) and managing the cleaner to ensure they are made up and cleaned as needed before and after staff stays. 2. Supporting the production team - Working with the kit manager and production team to ensure kit is packed, unpacked and replenished as needed. - Ensuring all overheads are uploaded to our software for approval. - Laundering gowns and slippers after shoots, running reusable cups and bottles through the dishwasher. - Supporting the Production teams (London & Paris) with office-based work – planning travel, researching accommodation, placing team options, creative research particularly on locations, compiling presentations, etc. - Updating and maintaining the directories. - Printing and completing forms as required. - Arranging travel, accommodation, and visas on occasion. - Making restaurant bookings and scheduling meetings. - Purchasing and posting gifts on occasion as instructed. - Occasional administrative & service errands. IDEAL SKILLS AND EXPERIENCE - Bilingual – French & English - Experience in office or studio management, ideally within a creative, media, or production environment. Candidates from other fast-paced sectors with strong organisational and coordination skills are also welcome. - Competent with all main IT packages. Experience with Adobe InDesign is advantageous - Used to managing multiple priorities at any one time and communicating workload and timelines. - A great team player with a positive attitude. - Experience in managing contracts with suppliers. - Great attention to detail and proactive work ethic. - Personable, discreet, a great communicator. Date of position commencement: ASAP Standard Hours: 9am-6pm Monday – Friday Salary & Contact: To be negotiated depending on experience ____
