Role and Responsibilities - Administrative and Communications OfficerReporting to the Executive Director, the Administrative and Communications Officer is responsible for managing and coordinating the activities, projects, and programs of committees and working groups composed of volunteer physicians; The incumbent will be required to participate in all of the organization's activities and provide support to teams in achieving their objectives and action plans. Management and coordination of activities, projects, and programs - logistical supportOversees the implementation and execution of activities arising from committees/working groups and senior management, and fulfills delegated tasks;Supports teams by providing administrative, IT, and logistical support in the planning and implementation of ongoing or future initiatives;Monitors all continuing education programs or sessions, as well as functions related to continuing professional development (CPD);Participates in various tasks related to the application process for the certification of continuing education (CPD) programs and activities in accordance with and in compliance with the Code of Ethics;Coordinates activities related to committee/working group meetings or other events (agenda preparation, minutes writing, logistical support, etc.);May be required to represent the organization at various events, roundtables, and external committees related to their duties within the organization.Communications Activities - Administrative SupportDevelops or updates documents or forms in circulation related to their responsibilities;Coordinates various communication vehicles aimed at promoting committee/working group activities or projects (website, social media, printed materials, presentations, and others) in collaboration with the Director of Communications;Collaborates in the organization of special events or representations (virtual or in-person), including providing logistical support;Contributes to the completion of other projects or special mandates assigned to them;Participates in tasks shared with colleagues, including administrative support to the Executive Director;Performs any other tasks related to the smooth running of the organization. Professional Requirements and SkillsUniversity or college education in a relevant field (administration, office automation, communications, project management, or other relevant training, etc.);Bilingual (French and English), excellent command of both languages;Advanced office skills in a Windows environment and commonly used digital platforms (Microsoft 365 - Outlook, Word, Excel, PowerPoint, Teams, SharePoint, Adobe, Canva, WordPress, etc.);Ability to create administrative documents (conceptualization/layout, tables, PowerPoint presentations, etc.);Good knowledge of social media and its use;Strong ability to work in a fast-paced, multitasking environment;Experience coordinating and supporting teams in a project context, an asset;Knowledge of the healthcare sector, an asset. Working ConditionsHybrid mode - 2 days (Tuesday and Wednesday)/week in person and 3 days/week working remotely Work Schedule5 days/week - September to June: 8 a.m. - 4 p.m. (37.5-hour work week)4 days/week - Monday to Thursday: 8 a.m. - 4 p.m. (30-hour work week) from Saint-Jean-Baptiste Day to Labor Day (summer period) Primary work location (in person): 3210 Jacques-Bureau Avenue, Suite 202, Laval, Quebec. Available outside of regular working hours for meetings, activities, events, or other types of representation. May be required to travel outside the office. Group insurance program available.
