Job Description

Location: Montreal, QC Schedule: 32 hours/week (seasonal flexibility possible) Start Date: As soon as possible Position Summary A well-established community organization in Montreal is seeking a bilingual, versatile, and detail-oriented Administrator to oversee daily operations. The successful candidate will play a key role in coordinating administrative, financial, HR, and logistical activities in support of internal teams and community members. Key Responsibilities General Administration Oversee office operations: reception, records, supplies, and team support Support internal committees and prepare meeting minutes Finance and Accounting Manage payments, invoices, bank reconciliations, and deposits Assist with budget tracking and fundraising campaigns Coordinate with external accounting and payroll services Human Resources Prepare payroll and administer employee benefits Oversee background checks and ensure compliance of personnel files Maintain HR records and pay equity documentation Facility Rentals Manage space rental requests, contracts, and payments Supervise event attendants and coordinate logistics (AV, cleaning, etc.) Digital Communications Produce newsletters and update the website Manage communication platforms (Mailchimp, Google Workspace, social media) Collaborate with internal teams to ensure inclusive and clear information sharing Candidate Profile Bilingual: fluent in French and English (spoken and written) Experience in administration, finance, HR , or team coordination Strong organizational skills, attention to detail, and autonomy Proficiency with digital tools (Google, Mailchimp, Squarespace, etc.) Collaborative leadership and personnel management skills Strong commitment to respect, inclusion, equity, and diversity Clear stance against racism, homophobia, transphobia, or any form of discrimination Discretion and professionalism in handling confidential information Working Conditions Permanent full-time position (32 hours/week) Competitive salary based on experience On-site presence required (Montreal-based office) Supportive, inclusive, and people-centered work environment Flexible summer schedule depending on organizational activities
