Join us in transforming food allergy care and be inspired to make a difference. Who Are We Looking For? We are currently seeking an experienced Medical Assistant to join our pediatric clinic team. This position involves a combination of front and back-office responsibilities, requiring someone who is detail-oriented, patient focused, and ready to make a difference. Duties and Responsibilities: Front Office Duties: Arrive ahead of the first patient to prepare the clinic and ensure all patient areas are cleaned, stocked, and ready. Greet patients and their families upon arrival, creating a welcoming environment. Complete front office check-in and checkout procedures efficiently. Assist with billing processes, such as collecting and processing payments within multiple systems and completing claims. Schedule appointments and manage patient records in compliance with HIPAA regulations. Verify demographic information and update as needed within the EMR system and other applicable systems. Answer phones, respond to patient inquiries, and relay messages to the clinical team. Back Office Duties: Arrive ahead of the first patient to prepare the clinic and ensure all exam rooms are cleaned, stocked, and ready. Demonstrate understanding of the food dosing strategy and patient plans. Prepare patient consents and complete chart prep within required timeframes. Prepare food challenge vehicles for each visit. Prepare patients for visits, acquire and document vitals, and communicate with providers to ensure an organized patient flow process. Assist providers with patient schedules and clinical needs. Maintain a safe food allergy environment by ensuring proper food dosing, reporting errors, and following protocols during patient exercise activities. Monitor and maintain emergency rescue medication and equip rooms with appropriate supplies. Measure food doses, as needed. Verify food dosing and manage supplies received from the Food Lab. Complete the Food Preparation Checklist weekly. Perform diagnostic testing, such as skin testing and pulmonary function testing. Maintain patient records using appropriate applications. Complete and maintain front and back-office skills and performance competencies. Complete other duties as assigned. Qualifications: High School Diploma or equivalent required. Graduate from an accredited Medical Assistant program required. Certified Medical Assistant (CMA) or Registered Medical Assistant (RMA) preferred. 2 years Medical Assistant experience in a clinic setting required. Experience in Allergy/Immunology and Pediatrics preferred. Procedure training such as PFT, ENO, etc. preferred. BLS Certification required. MS Office or Google Suite proficiency preferred. Familiarity with electronic medical records (EMR) systems; proficiency in data entry and document scanning. Customer service experience required. Team mentality and positive working attitude. Strong verbal/written communication skills. Ability to work in a fast-paced environment that requires strong multi-tasking skills. Excellent organizational skills and attention to detail. Working Conditions: This role works in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Physical Requirements: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee will be required to stand for long periods of time. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. The employee is required to walk between multiple office locations that include the use of stairs (elevator is only available in some instances). This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.
