*Working Title:Internal Only* Assistant Director of Lifelong Learning Society *Position Number:*FA414 *FLSA:*Exempt *Appointment Type:*Full Time *Sensitive Position:*No *Sensitive Position Statement:*A sensitive position requires a fingerprint-based criminal history check. This is NOT a sensitive position. *Campus Security Authority:*No *Campus Security Authority Statement:*This position is NOT designated as a Campus Security Authority. A Campus Security Authority (or CSA) is defined as an “official of the institution with significant responsibility for student and campus activities”. A CSA is required to immediately report any crime that is reported to them to the University Police who will then review, evaluate, and investigate the reported crime. Annual training is required by the Department of Education for all personnel who have been designated as a Campus Security Authority. *Designated Personnel:*No *Designated Personnel Statement:*A “designated position” means a position could potentially be required to work (depending on the event) during an emergency closing. This is NOT a restricted position. *Chief Objective of Position:*The Assistant Director position will support the Director of LifeLong Learning Society with program implementation and managing the day to day affairs of the department. *This is an internal posting open to current employees of Christopher Newport University.* *Work Tasks:*1. *Program Management/Development* * Assist the director with the implementation of overall program to include the scheduling of courses, lectures, trip, etc. * Provide support for annual calendar of events; serve in back-up capacity for conferences * Assist with committee meetings; send reminders, create agendas, and take minutes * Oversee LLS classes to ensure they run as planned, run Zoom for hybrid classes as needed * Provide assistance with contract preparation for instructors, speakers, and class coordinators * In collaboration with director, work with colleagues in Advancement to secure sponsorships for LLS and steward those supporters throughout the year * Assist with maintenance of LLS database to include but not limited to memberships, course registration, event sign up, payments * Manage LLS mailing list and email list * Serve as main point of email contact for members, manage lifelonglearning@cnu.edu * Supervise Administrative Assistant Position; direct daily tasks and provide guidance 2. *Payroll, Deposits, Financial Reporting Support *Payroll: * In collaboration with Director who determines instructor payment amounts, prepare payroll and process other required paperwork * Prepare thank you letters to all instructors with payment * Support Director in reconciling payroll payments to monthly financial reports Deposits: * Process deposits; cash, check, and credit card * Maintain deposit records Financial Reporting: * Prepare monthly deposit allocation report for Director and LLS Treasurer * Support Director in financial reporting as needed 3. *Trips* * Work with LLS trip committee to select trips appropriate for LLS members * Plan and coordinate all aspects of trips with designated travel agencies; 3-5 local trips and 2-3 multi day trips per year * In conjunction with Director and General Council, establish a contract to be signed by travel agency and Director for every trip; proof the details in contract * Proof and distribute flyers and brochures; market trips in conjunction with Director * Send off travelers the day of trip assuring that all is well * For multi-day trips, oversee direct registration * For local trips, accept registration, prepare attendance lists, supply name tags, maintain spreadsheet record of registration including LLS commission and reconcile after trip 4.*Outreach & Customer Service* * Assist with development of semester brochures, create event flyers as needed * Develop weekly LLS newsletters as needed * Assist the director with recruiting, hiring and retaining instructors and presenters * Attend Society committee meetings, Monday lectures, opening sessions of courses and special events as needed to connect with members, guests and potential LLS participants * Seek new ways to maximize advertising/publicity and share strategies with director * Develop and maintain very positive and professional customer service and/or relations within the office/department and with all constituencies to include students, faculty, staff, guests, and employees. Demonstrates a positive and professional attitude and treats everyone with dignity and respect.
