JOB DESCRIPTION: OFFICE ADMINISTRATOR- (MATERNITY COVER) Responsible to: Office Manager (Line Manager) Location: SEFFs Fivemiletown Office. Hours of work:30hours per week (1st July 10th October 2025) Salary: NJC SC5 PT17-£24,048 gross (pro rata)& 6% pension payable monthly in arrears Our Mission at SEFF Are you an organised, enthusiastic individual who thrives in a varied role with real purpose? Youll be a key part of our Fivemiletown office, providing essential admin support across the organisation and being a friendly, professional first point of contact for our members. About the role This is a diverse, hands-on role ideal for someone who enjoys variety and people-centred work. Your day will range from greeting visitors and managing communications to producing our monthly newsletter, coordinating marketing materials, and ensuring smooth office operations. Key responsibilities include: Front desk duties: welcoming members, managing phone and post systems Producing and design of monthly newsletters and SEFF marketing materials Supporting senior management with administrative tasks Updating and maintaining our website and database systems Coordinating stock and stationery supplies Supporting events, classes, and internal communications Processing memberships and maintaining confidential records Managing rooms and logistics for meetings and activities Attend and minute Quarterly SEFF Staff meetings Maintain up-to-date members records on SEFFs database systems Processing of all Membership Applications and issuing New Membership Packs Maintain an effective and efficient archive system for all non-financial based material, Hands-on role in recruiting participants for classes/activities Responsible for producing the Annual Report (liaising with relevant contributors) Issuing of cards e.g. Sympathy, get-well cards Providing Administrative Support to the SEFF Management Team as required Maintenance of office equipment and relevant ordering, e.g. photocopier Responsibility for stock levels for all SEFF Leaflets and booklets Attendance and input at regular team meetings led by Office Manager Texting Members with key messages in collaboration with the Project Coordinator Access NI processing and Signatory for employee and volunteer checks with the Project Coordinator Participation in the Procurement Process with regard to office ordering Set up rooms for meetings/classes and communicate with tutors and facilitators Any other relevant duties required by the Office Manager, or Director. Weekly fire testing and logbook completion in partnership with Office Manager where appropriate Essential Skills: 5 GCSEs or equivalent at grace A-C including Maths and English 3 years of Administration Experience in a busy office environment Proficient in the use of Microsoft Office programs, including Excel, Word, PowerPoint, and SharePoint cloud storage system Experience in the use of database software systems High-end organisational skills, attention to detail, accuracy, and ability to manage a busy schedule of work Experience in marketing- including the production of collateral, social media content, and newsletters Knowledge of the Troubles in the lens of Victims within Northern Ireland and GB Extremely sensitive to the privacy and confidentiality of clients and their information Desirable: Experience working with clients who experience a range of trauma is highly advantageous First aid at work qualification Fire Safety or Fire Warden training Experience in events and projects/ programmes Employee Value Proposition SEFF offers the following benefits and values to its staff: A generous annual leave allowance Paid sickness leave A bonus leave day at Christmas Hybrid and flexible working opportunities Flexible office hours A staff Wellness Framework A full Employee Assistance Program Financial support and investment towards CPD training opportunities Great workplace culture and team-building events.
