Job Description

The Facilities & Operations Coordinator is an entry-level position that provides vital administrative and logistical support to ensure the smooth operation of the First Naples campus. This role assists in processing facility-related requests, helping manage the campus calendar, tracking project progress, and coordinating with internal teams and vendors. The coordinator helps gather vendor quotes, supports project coordination, and ensures that tasks are documented and completed according to plan. This role is ideal for someone detail-oriented, proactive, and eager to grow in facilities and operations support. GENERAL RESPONSIBILITIES Works in coordination with the overall goals and objectives of First Naples. Assists the Executive Pastor to work toward excellence in all areas of the ministry. Basic personal responsibilities : Maintain a vital and growing personal walk with the Lord through committed Bible study, prayer, and meditation. Lead yourself and your home towards Honesty, Honor, Humility, Hunger, the Holy Spirit, and Health (Emotional, Spiritual, Financially, and Physically). Maintain proper priorities in your home including your spouse and children (if married and / or with children). Faithfully support the ministries of First Naples by maintaining wise stewardship measures over the resources entrusted to you. Maintain active participation in an adult-group. Perform duties and responsibilities in a manner to glorify Christ and further the mission and ministry purposes of First Naples (Colossians 3 : 23-24). SPECIFIC LIST OF DUTIES AND RESPONSIBILITIES Assist in receiving, organizing, and tracking operational and facility-related requests. Maintain and coordinate the campus calendar for internal events and facility use. Help implement plans of action developed by leadership and assist in communicating assigned tasks to appropriate teams. Track task progress and confirm completion; maintain records and follow up as needed. Gather vendor quotes for proposed projects and support vendor communication. Assist with coordinating campus-related projects, ensuring timelines and updates are tracked. Support routine contract renewals and vendor agreements under the direction of the Director of Operations. Help coordinate occasional training or continuing education opportunities for staff teams. EVALUATION AREAS FOR ROLE Timeliness and accuracy in processing requests and task tracking. Clarity and organization of the campus calendar. Responsiveness in assisting with project coordination. Thoroughness in communication and follow-up. Proactivity in supporting vendor communication and contract renewals. Assistance in coordinating staff development opportunities. QUALIFICATIONS EDUCATION AND EXPERIENCE REQUIRED High school diploma or equivalent required; associate or bachelor's degree . 1-2 years of experience in an administrative, operations, or facilities support role . SKILLS Strong interpersonal skills; ability to communicate effectively in person, by phone, and through email. Able to follow verbal and written instructions and work collaboratively with staff, vendors, and volunteers. COMPUTER AND MATHEMATICAL SKILLS The individual must have demonstrated proficiency in using PC systems to complete operational tasks, demonstrate proficiency in Microsoft Office (Word, Excel, Outlook); ability to learn project tracking tools. They must be able to utilize the internet for research and resource gathering. Detail-oriented and organized; able to manage multiple tasks at once. REASONING ABILITY Demonstrates initiative and the ability to adapt to changing priorities. Capable of identifying potential issues and reporting them to leadership with recommended next steps. The ability to work under pressure, prioritize tasks, and meet deadlines while ensuring the operational and facility needs of the campus are met is essential. PHYSICAL DEMANDS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform these functions. This position is primarily sedentary, with approximately 95% of work performed at a desk using a computer and phone. The role occasionally requires walking across campus for meetings, facility checks, or project support. The employee must be able to lift and carry items up to 25 pounds on occasion and navigate stairs or outdoor areas as needed to respond to operational needs.
